Admission to ED I-MEP² and registration with UGA (Collège Doctoral)
Admission and registration for 1st year
ATTENTION - BEFORE SENDING YOUR APPLICATION
> If the thesis begins between January and June, the average duration of a thesis being 36 months, and registration being based on an academic year (September 1 to August 31), the doctoral student will have to pay a 4th year of registration, as the defense will be held outside the deadlines allowing for flexibility in the final year of the thesis (more information at the bottom of the page*). [for info: administrative registration fees ≈ 500€ per year (including CVEC)].

2- A Résumé (including - if applicable - a list of publications in international journals)
3- Copy of all Academic transcripts (bachelor's/prepa + master's/engineering school = last 5 years)
4- Copy of Master's / engineering school final year Thesis
in case of confidentiality, see below (1)
5- A copy of the final* Certificate of achievement or the Master's / Engineer's diploma
*in case of provisional or not yet issued attestation, see below (2)
5bis- in case of Foreign diploma: please add a copy of the Bachelor's degree, see below (6)
6- Letter of motivation
7- Summary of supervision (to be written by the future thesis supervisor)

9- Proof of funding over 3 years provided by the funding organization (letter from the lab's HR department, letter of acceptance of a grant, promise of employment, contract, etc.).
Minimum funding = (Monthly minimum wage: €1,383.09 net: after deduction of employee contributions) x 36 months

(1) Confidentiality of your Master's thesis :
please provide at least the first page of your Master's thesis and proof of its confidentiality.
(2) No certificate of achievement or diploma :
if you have not yet obtained your certificate of achievement but need a letter of acceptance of your application to sign your doctoral contract, please specify this. You will then receive a provisional letter of acceptance of application > subject to obtaining the attestation of successful completion or the master's/engineer's diploma.
(3) In the context of a future CIFRE : Please send the application without part n°9. The ED I-MEP² will give "Pedagogical advice subject to funding" to be submitted to the ANRT. Once the CIFRE application has been accepted, the PhD student will return to the ED with proof of funding (= letter from ANRT).
(4) Scholarship from l'ANR (Agence Nationale de la Recherche) : please send the application without document no. 9, in which case document no. 8 will suffice to justify the financing.
(5) Funding from ADEME (Agence de la Transition Ecologique) :
Specific welcome letter to download HERE attesting to an allocation via ADEME for 2 years, renewable for 1 year. This letter commits the laboratory to financing the final year of the thesis if the ADEME allocation is not renewed.
(6) Foreign diplomas : holders of foreign diplomas must submit their application to the Commission CD3 (Commission Dispenses, Dérogations Doctorales) of the Doctoral College (UGA). The application is examined in 2 stages: the applicant sends his or her admission file to the ED, and if it is accepted, the ED presents the application to the UGA at one of these commissions. Applications must be sent by email to the ED no later than 15 days before the CD3 Commission (dates to be consulted in the Agenda section).

2. Creating an ADUM account
Once your application has been reviewed by the I-MEP² Doctoral School Direction, you will receive a confirmation e-mail inviting you to create your ADUM account.
When you create your account, fill in all the sections correctly (ask your thesis director to help you), then print out the Training Agreement and the Doctoral Charter.
Once signed by all parties (except the Doctoral School director), you will send these 2 documents to the I-MEP² Doctoral School by e-mail.
Please note: in the case of provisional admission "under reserve", you can create your ADUM account and follow the above procedure, but this does not mean that your application has been finalized. You will not be authorized to register at UGA until we have received the documents you were initially missing (you will be reminded of this by e-mail).
When you create your account, fill in all the sections correctly (ask your thesis director to help you), then print out the Training Agreement and the Doctoral Charter.

3. Administrative enrolment
The Doctoral School will forward your registration authorization to the Doctoral College Registration Center, which will contact you by e-mail to inform you of the procedure (payment of the registration fee (administrative registration fees ≈ 500€ per year - including CVEC).

Re-enrolment in 2nd and 3rd year
Registration must be renewed every academic year until the thesis defense.
Re-enrolment in the thesis program takes place at the beginning of July, following the admission notice drawn up by members of the CSI (Comité de Suivi Individuel).
The doctoral student is responsible for having it signed by all parties (except the I-MEP² Doctoral School direction) and submitting it to the I-MEP² Doctoral School via ADUM.
If all parties agree, the doctoral student will receive an e-mail from ED I-MEP² indicating that he/she is authorized to re-register. The Doctoral College Registration Center will then contact the doctoral student to take further steps.

Doctoral students registered in 3rd year can organize their defense until the end of the calendar year (December 31) without having to organize a new CSI or re-register in 4th year*.
Re-registration for 4th year
Doctoral students (3rd Year) who defend their thesis between September 1 and December 31 do not have to re-register* (no CSI either).

*Article 5 of the decree of April 19, 2019 on registration fees in public higher education establishments under the authority of the MES allows doctoral students who postpone the defense of their thesis after the start of a new academic year (September 1 to December 31), to consider that they are still covered by the administrative registration made for the previous year.
Re-registration in 5th year and beyond
Doctoral students (4th Year) who defend their thesis between September 1 and December 31 do not have to re-register* (no CSI either).
However, if you defend your thesis on or after January 1, please contact the Doctoral School, as your re-registration will be subject to approval by the Doctoral College's Commission Dérogations Dispenses Doctorales (CD3).
